Description

The Job Holder will be responsible for coordination, contribute firsthand information, monitor & control the operations office. This involves answering telephone calls both externally and internally, preparing time and attendance information, preparing the key external dispatch papers, filing of records including performance reports for the smooth functioning of the section.

Ensure compliance to all Health and Safety policies.

Reports any Health and Safety hazards to immediate head.

Responsible for the maintenance of all OHS related documentation and reporting of data.

Assist in the induction of the new recruits by endorsing them to operations for on-the-job inductions.

Brief new staff and provide them information on staff transportation schedules, housing assignment, duty schedules.

Coordinates issues / complaints concerning delivery notes, wrong encoding and other problems to ensure proper month end reconciliation and error free invoicing.

Check and verify if data entries correspond with production reports to ensure that counts are accurate.

Dispatch papers & Daily reports.

Monthly supplies and utilities

Actively involve in measures to reduce office consumption (comparison) related costs.

Keep track of all relevant data that affect manpower planning and allocation.

Prepares consolidated data across units to support evaluation of machine and operator load in meeting production targets.

Analyze soiled linen documentation from all Linencraft sections prior to preparing dispatch papers.

To answer all incoming calls in a pleasant, polite and professional manner and ensure that messages are appropriately action.

To update related trend. production system report (daily and monthly)

Support the LAM in providing consolidated data related to the production target and KPI for all units for management reporting.

Temporary staff attendance record

Perform general clerical duties to include but not limited to: photocopying, mailing, filing & document control.

Prepare sectional rosters to be passed on to the Administration assistant for entry into the TAAS.

Seek guidance and approval from the Assistant Manager Laundry any amendments to delivery notes and the various production reports to ensure accuracy of reporting.

Prepares daily consolidated production reports which include water hardness, equipment availability, downtime, actual counts of processed linen, man hours, logistic movements, vehicle availability to facilitate management decision making.

Ensure all agency staff attendance records are accurate for correct invoicing and proper allocation.

Receives and addresses complaints / discrepancies regarding dispatch paper.

Month end reconciliation discrepancies and take corrective action to reflect on the reports.

Manages all Operations administration requirements related to employees by coordinating with relevant sectional heads.

Receives and disseminates communication from Operations.

JOB CONTEXT

Linen Craft is an ultra-modern, state-of-the-art, world class laundry service provider and is Middle East*s most sophisticated industrial laundering and dry-cleaning facility with 92 tons laundry facility spread over 13,500 sq meters at the Dubai Investments Park. It largely comprises of five main sections, Logistics, Airline laundry operations, Hospitality operations, Dry cleaning operations and Administration. The job holder would be managing the entire unit operations & would address a wide range of issues for airlines & hospitality customers. Customer needs should be carefully evaluated & accordingly action needs to be taken. It is critical that company has a benchmark in quality standards. The job holder is responsible for providing an effective clerical support service to the operations. They man the operations office which is the heart of the operations. Must ensure they are polite and calm in answering telephone calls which are mainly from customers inquiring about the status of deliveries and overall services. Should pass these inquiries to the relevant personnel and obtain feedback / updates in timely manner. In addition, the job holder is responsible in compiling accurate reports for the Management pertaining to staff movement, allocation, attendance, so that KPI’s can be monitored and managed effectively. The job holder is also responsible for the manual staff attendance entry of the off-site Linencraft Team Members at various locations namely EK laundry outlets, hospitality accounts.

QUALIFICATIONS AND EXPERIENCE

High school certificate

1-2 years in customer service or related field
